Are you a highly organised and proactive individual with a passion for community engagement, events, and administration? The Douglas Chamber of Commerce is looking for an Administration Officer to support our members, drive engagement, and ensure smooth day-to-day operations.
About the Role: As the Administration Officer, you will play a key role in supporting the Chamber’s operations, assisting with marketing and social media, organising events, and ensuring exceptional customer service for our members. This role requires a friendly, professional, and positive approach when engaging with stakeholders, members, and the broader Douglas business community.
Key Responsibilities: Customer Service & Member Engagement
Provide exceptional service to Chamber members and stakeholders.
Identify opportunities to grow the Chamber’s profile and offerings.
Maintain positive relationships with local businesses, Douglas Council, industry groups, and government bodies.
Address member concerns promptly and professionally. Administration & Operations
Respond to emails and inquiries efficiently and professionally.
Assist in preparing meeting agendas and minutes.
Maintain accurate records of Chamber activities and communication.
Research and apply for grants to support Chamber initiatives.
Build and maintain an up-to-date database of local businesses. Events & Marketing
Plan and execute Chamber events, including networking functions, workshops, and community activities.
Coordinate venue bookings, catering, guest speakers, and event promotion.
Manage the event booking platform and ensure post-event follow-ups. Social Media & Communications
Support the Chamber’s social media and content strategy.
Promote business-to-business connections and member success stories.
Keep Chamber communications informative, relevant, and engaging.
Ensure the Chamber website and social platforms are always up to date. Workplace Health & Safety
Comply with all WHS standards and policies.
Identify and report potential hazards in the workplace.
What We’re Looking For:
Strong administration and organisational skills.
Excellent customer service and stakeholder management abilities.
Experience in event planning and coordination.
Knowledge of social media management and marketing.
Ability to work independently while contributing to a team.
Passion for supporting small businesses and the local economy.
